Job Details Essential Duties and Responsibilities: 1. Performs a variety of administrative or executive support tasks that are highly confidential and sensitive.. 2. Prepares agendas and collects materials for meetings, speeches and conferences: takes minutes and keeps records of proceedings. 3. Plans and coordinates arrangements for professional conferences. Manage internal meetings in terms of coordinating room reservation, purchasing lunch or other needed items, etc. 4. Coordinates and facilitates the Office Administrator's calendar to arrange 5.The ability to work seamlessly with the team, at all levels appointments, meetings and conferences. 6. Compiles and maintains records, statistical information and reports. 7. Establishes and maintains various filing and records management systems. 8. Operates standard office equipment. 9. Answer multi-line telephone system. 10. Screen incoming calls and determine whether the caller needs to speak to an attorney and which specific attorney they should be referred to for assistance. Collect voicemail messages from the general mailbox in the A.M. 11. Takes detailed telephone messages for legal department staff. 12. Mail, fax, or arrange for delivery of legal correspondence to clients, witnesses, or any person so directed by legal staff. 13. Perform other duties as requested by the Partner. Requirements 1. Equivalent combinations of education and experience to have obtained the required knowledge, skills and abilities. 2. Project management and organizational skills; ability to manage and coordinate a number of complex projects. 3. Ability to work independently while performing assignments where confidentiality is required. 4.
